Trainee Document Controller - Barnes Construction

Reporting to: Administrative Secretary to Managing Directors

Location: Barnes Construction Ipswich Head Office (in person)

Contract type: Full time, permanent

Immediate colleagues: Document Controllers/Administration Department

Interfaces with other Departments: All staff

Schedule: 39 hours per week (Monday – Friday)

Duties and Responsibilities:

• Primarily assisting the Document Control Department with data input, copying drawings, updating manuals/information and sending emails.
• To cover Reception at lunch times and any sickness/holiday cover.
• Dealing with incoming and outgoing post when required.
• Back up support answering any external and internal calls within the Administration Department.
• Assisting the Administrative Secretary to Managing Directors with day-to-day administration tasks.
• Assisting with the Invoice register.

The duties of the position will vary from time to time as a result of, new initiatives, new or amended employment legislation, changes in technology, policy changes or re-structuring. In these cases, appropriate training may be given to enable the post holder to undertake any new/varied work.

The post holder may also be requested to attend training courses and/or briefing sessions that may fall outside of the normal working week.

Skills required:

• IT literate, particularly in Excel, Outlook and Word.
• Ability to use own initiative and deal with changing priorities to meet tight deadlines.
• Confident in your ability to work on your own as well as part of a team.
• A good common sense and flexible approach to meet the needs of the department/business.
• Strong attention to detail and able to produce accurate work.
• Excellent written and verbal communication skills, maintaining a polite, helpful attitude with various stakeholders at all levels.
